Senior Corporate Events Coordinator Location San Antonio, TX : Overview: Colliers Engineering & Design is seeking a Senior Corporate Events Coordinator to join our San Antonio, TX office. This Senior Corporate Events Coordinator will be responsible for planning, executing, and managing events, outings, and programming for the San Antonio regional office to boost employee and client engagement. This role also supports, coordinates, and identifies events across other regional offices as needed. Responsibilities:
- Review and collaborate with manager on all applicable Corporate Event Contracts (with vendors and venues), then submit contracts to Ironclad for Legal review and approval.
- Develop project outline for each event including a time-line, designation of responsible parties, pre- and post-event tasks, event-day tasks and appropriate deadlines.
- Track and ensure all deliverable and deadlines are met, following up with assigned responsible parties.
- Serve as the primary contact for San Antonio, TX & designated regional state event venues.
- Work with venues on all event logistics including layout, food and beverage, production, and technical requirements.
- Collaborate with Manager and Marketing on the creation and distribution of invitations.
- Create and manage the guest list, invitations and R.S.V.P. for events.
- Organize, coordinate, oversee all operations on the day of the Event including but not limited to registration, set up, layout, final seating/table charts, event flow and breakdown.
- Assist with planning of regular employee Social Events in San Antonio.
- Organize, manage, and execute major annual events like the CED annual Fiesta party and golf tournament.
- Book corporate event venue, catering, A/V services, décor, etc.
- Assist with development of creative programming and experiences for employee events.
- Track event budgets, secure necessary approvals, and monitor spend.
- Schedule and coordinate dinner reservations and scheduling for small to large groups at designated corporate events.
- Field all event related questions and issues before, during and after event.
- Manage event materials for trade shows, including coordinating delivery, up-keep, set up, removal and storage.
- Drive employee participation and enthusiasm for programmed events.
- Work with Events & Events Travel Team to coordinate conference, hotel, and travel arrangements and reservations for San Antonio/regional staff.
- Report on event performance analytics including participation, satisfaction, and event recaps.
Qualifications: - Basic / Minimum Education requirement to perform the job: Vocational training / associate degree / diploma / certification
- Preferred educational requirements to perform the job: High School Diploma or GED, Associates or Bachelors Degree optional.
- Relevant Years of experience required to perform the role: 3 to 5 yrs.
- Photography & video to capture content from events for marketing purposes; Ironclad, Microsoft Office Excel, Adobe Acrobat.
