Position Overview:
This position has the primary responsibility of providing excellent customer service to all who enter the University or with whom this staff member interacts with in-person, virtually, or via phone/email. The Senior Administrative Assistant serves as the Receptionist for the Office of Admissions, provides operational support for the department, assists with the planning and execution of admissions events, and helps to manage student employees. This position is vital to the creation of a positive first impression and overall campus experience for prospective students and guests.
Duties and Responsibilities include but are not limited to:
- Welcome guests to the Admissions Office and University; provide friendly and accurate information when welcoming campus guests, answering, placing, or redirecting phone calls, and when communicating with all external and internal constituencies
- Assist with confirmation calls for all counselor appointments, campus tours and admissions events
- Maintain the professional appearance of the Admissions Office reception desk and lobby
- Schedule, change and confirm appointments and event attendance
- Maintain the Admissions lobby and front desk, including updating the slides displayed on the lobby monitors
- Assist with the supervision and training for our student ambassadors in the Admissions Office
- Active participation in the planning and execution for on-campus Admissions events
- Learn and utilize our student information systems: Slate and Colleague
- Assist with the preparation of mailings and event packets as needed
- Provide excellent customer service to all internal and external constituencies
- Complete various admissions related tasks and projects as directed by the Associate Director, Director, AVP, or VP
- Assist with covering evening and weekend events, as needed
- Perform other duties as assigned

Failure to provide outstanding customer service could result in establishing an unwelcoming atmosphere for prospective students and their families thus creating a poor image of the University as a whole. Providing inaccurate information could negatively impact a student who is seeking admission to the University. Failure to carry out these important aspects of this position could negatively impact the University’s image and hence our recruitment efforts.
Level of supervisory oversight:
Moderate. This position must be able to learn the Colleague and Slate systems and take direction in utilizing the various functions and processes within systems with moderate oversight. Ability to handle office activities and carry your assigned tasks independently.
Education/Skills Required:
- Associate’s or Bachelor’s degree preferred, and/or 2 to 4 years of customer service experience in a related position
- Excellent interpersonal and communication skills
- Strong organizational skills and attention to detail
- Ability to occasionally work evenings and weekends, as required
- Knowledge and proficiency in Microsoft Office and Google. Experience with Slate and Colleague systems preferred
Salary Range:
In compliance with NYC's Pay Transparency Act, the annual starting salary for this position is $35,000. St. Joseph's University, New York considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, geographic location, as well as market and organizational considerations when extending an offer.
