Phoenix Staging + Design and Staged Above are seeking a proactive, detail-driven Administrative Assistant to be the glue that holds our growing team together across two locations. This role blends administrative support, project coordination, and operational management — ensuring that every client interaction, design project, and staging installation runs effortlessly from the first call to the final invoice. You’ll work closely with our team of designers, stagers, and clients to make sure timelines, communication, and systems stay aligned. The right person will be highly organized, tech-savvy, and capable of juggling multiple priorities while maintaining a calm, can-do attitude. Compensation & Benefits • Salary Range: $35,000 - $40,000 annually (DOE) • Paid Time Off (PTO) • Sick Leaves • Paid Professional Development Classes/Courses • Quarterly Team Outings This is a hybrid position, with biweekly and monthly meeting days with the team expected. Responsibilities: Administrative Support • Keep inboxes, calendars, and schedules organized and updated • Coordinate appointments, walkthroughs, installations, and project timelines • Prepare and send contracts, proposals, and invoices • Maintain client files, digital forms, and communication logs • Provide support for typical administrative tasks Project & Client Coordination • Serve as the main point of contact for clients, agents, and vendors • Collect and organize, and upkeep property details, agreements, and photos • Track project progress, logistics, and key deadlines • Update workflows and task management systems (17hats, Stageforce, QuickBooks) • Ensure every client experience feels seamless and professional • Close out all files with necessary metric tracking information for analytics reporting.  Operational Support • Refine and maintain internal checklists, SOPs, and processes • Monitor recurring tasks such as rental extensions and renewals • Track expenses and support accurate bookkeeping • Anticipate team needs and help keep operations flowing smoothly Qualifications: • Outstanding organizational and time-management skills — loves checklists, structure, and staying two steps ahead • Strong attention to detail and accuracy in all forms of communication and documentation • Tech-savvy , with the ability to learn and navigate new systems quickly (familiarity with 17hats, Stageforce, or QuickBooks a plus) • Able to multitask and prioritize daily workload in a fast-paced environment • Excellent communication skills — both written and verbal — with a warm, professional tone • Strong problem-solving abilities and a proactive approach to getting things done • Able to work independently and manage time effectively while supporting a remote, collaborative team • Discretion and confidentiality when handling client or company information • Customer service–focused mindset with a genuine desire to help others succeed • Positive and adaptable personality who thrives in a creative, growing business • Experience in real estate, staging, design, or administrative roles is a plus About Company: We’ve staged hundreds of homes across VA, DC, and MD — helping agents and homeowners sell faster and for more.
